Personal Assistant

 



An opportunity has arisen for an experienced Personal Assistant within the Westfield QLD|WA Regional Team. The main function of this role is to provide Personal Assistant support to the Regional General Manager of Westfield Shopping Centre Management, Queensland and the Regional Marketing Manager for Queensland and Western Australia.

Job Responsibilities:
- Office Management liaising with office suppliers, facilities management, management of IT systems, manage expenses, payments and reconciliations and co-ordination of HR information
- Diary management
- All travel and accommodation arrangements
- General office tasks (typing/faxing/ mail/filing/photocopying/scanning)
- Monitor and respond to incoming correspondence including telephone enquires/screening and email management
- Document production including PowerPoint presentations and monthly reports
- Creating and preparing ????? ????? correspondence
- Providing general administrative, secretarial and PA support
- Take meeting minutes and prepare minutes for distribution
- Participate in team meetings to discuss issues and negotiate priorities
- Follow through tasks to completion
- Develop strong internal working relationships with other PA s to achieve cooperation and outcomes
- Maintain professional relationships with external customers and stakeholders
- Coordinate internal and external meetings, luncheons and functions

Candidate Requirements:
- Administrative experience at least three years in a similar position
- Ability to take ownership and manage time effectively
- Keen attention to detail and the ability to work autonomously in the timely delivery of tasks
- Highly organised and ability to organise others
- Ability to multi-task and respond to change
- Friendly and professional manner with excellent communication skills
- Strong computer literacy skills, in particular Outlook, Excel, Word and PowerPoint (minimum intermediate level)
